Local Data Requirements for CDL-T Processing

 
Records output by the CCA must contain the following elements 
to be properly processed, maintained, and displayed by CDL-T 
in accordance with the CDL-T PROCESSING AND DISPLAY 
GUIDELINES developed by the SOPAG Electronic Resources 
Cataloging Taskforce. It is assumed that the CCA will assign the 
data to 9XX fields, but may not use the exact fields shown below 
since they could be incompatable with the CCA's local system.  

   R = Required 
   O = Optional 

1. Record ID  (R) 
   Assign a unique and permanent numeric or alpha-numeric record 
   ID to each record output.  Record IDs are most often system 
   generated.  The ID will be used by CDL-T for record maintenance 
   and update.

2. Source Identifier  (R) 
   Assign a data element that identifies the source (the CCA) 
   that sent it.  In many systems, the source identifier is part 
   of the record ID.

       001  RLINCHSV99-123    (CHS RLIN record) 
       901  $a UCIb12345678   (UCI III record) 
       901  $a CDLb12345678   (CCA record if from an III system) 

3. Location Code  (R) 
   For each campus subscriber, output a separate 920 field that 
   contains the location code representing the campus 
   (codes have yet to be established). 

       920 $a UCR

4. Access Note  (O) 
   Output a 932 note with access information if the note in 
   the first $z of the first 856 in the record does not contain 
   adequate access information for use in the holdings display 
   of the MELVYL record.  (When CDL-T processes CCA records, 
   it will check to see if the record contains a 932 field. 
   If it does, it will output the 932, as sent, to the CDL-T 
   932.  If the record contains no 932, CDL-T will create one 
   from the first $z of the first 856 in the input record.) 

       932 $a Access restricted to UCSB, UCSC.  Password 
              required.  Inquire at Service Desk. 

5. Summary Holdings - Monograph Records Only  (O) 
   Output a 934 note with monograph summary holdings if the 
   note in the $3 of the first 856 in the record does not contain 
   adequate summary holdings for use in the holdings display 
   of the MELVYL CAT record.  (When CDL-T processes 
   CCA monographs,  it will check to see if the record contains 
   a 934 field.  If it does, it will output the 934, as sent, to the CDL-T 
   934.  If the record contains no 934, CDL-T will create one 
   from the $3 of the first 856 in the input record.) 

       934 $a v.19-  available online. 

6. Summary Holdings - Serial Records Only  (O) 
   Output a 950 note with serial summary holdings if the 
   note in the $3 of the first 856 in the record does not contain 
   adequate summary holdings for use in the holdings display 
   of the MELVYL PE record.  (When CDL-T processes CCA serials, 
   it will check to see if the record contains a 950 field. 
   If it does, it will output the 950, as sent, to the CDL-T 
   950.  If the record contains no 950, CDL-T will create one 
   from the $3 of the first 856 in the input record.) 

       950 $a Latest five years available online. 

7. CDL Directory Subject Vocabulary  (R) 
   Assign established CDL Directory subject vocabluary 
   in repeatable 980 fields.  Subfields will be defined for this 
   field so as to express hierarchy. 

     $a Top level 
     $b Next level 
     $c Next level    etc. 

8. CDL Directory Format Data  (R) 
   Assign established CDL Directory format data in 982 fields. 

     982 $a Electronic Journals 
     982 $a Databases 

9. CDL Directory Provider Data  (R)   
   Assign CDL Directory provider data in 984 fields. 

      984 $a Wiley 

10. Delete Record Indicator   
    When a record is intended for deletion in the MELVYL databases, 
    include data that indicates this.  In most systems, STATUS 
    in the leader will be set to 'd', but other systems may use 
    a different mechanism.
