| The following guidelines have been developed in accordance with recommendations
made by the SOPAG Electronic Resources Cataloging Taskforce.
A. GLOSSARY Location Segment: The location segment (also referred to as the 'holdings segment') is the basic unit of local information in the MELVYL record. One segment is generated for each valid unique location code in the input record. A record can have multiple location segments, each consisting of (some of) the following major components. Maintenance Key: A Maintenance Key is created by CDL/T for every record input into the CAT and PE databases where it is used to identify records for update. It consists of three main parts, all contained in the 901 field: 901 $a Technical Processing ('TP') Code - represents the system
that output the record to CDL/T.

B. NORMALIZATION PROCESSING In addition to standard normalization and preparation for the MELVYL databases, the CCA/CDL records will receive special processing as shown below. Reference is made to CCA record fields in the 9XX range. Although the exact 9XX fields cannot be known until the CCA has been chosen, the ones to be output by the CCA have been defined as follows for this document. (See also

1. Maintenance Key: CDL-T 901 field Create a CDL-T maintenance key from the CCA record ID. This unique identifier will be used in record maintenance and update. 901 $a I $b 1229479 $c CDB
2. Location Codes: CDL-T 920 fields Output a 920 CDL location code for each incoming CCA record, even though there will be no CCA supplied CDL code. In addition, output a 920 for each 920 in the CCA input record. 3. Call Numbers: CDL-T 930 fields Do not output 930 fields in CCA/CDL records.
4. Post Call Number Notes: CDL-T 932 fields This field will contain information about access restrictions and will be created as follows. If the incoming record contains 932 fields, move the contents of those fields to CDL-T 932 fields. If it does not, create a 932 field from the first $z in the first 856 in the record. If the record contains neither a 932 nor an 856 $z, do not create a 932 note. 932 $a Access restricted to: UCSC, UCSD. 932 $a Password required. Ask at

5. Summary Holdings, Monographs: CDL-T 934 field This field will specify what materials are included in the electronic resource and will be created as follows. If the incoming monograph record has a 934 field, move the contents of the field to a CDL-T 934 field. If it does not, create a 934 from the $3 in the first 856 in the record. If the record contains neither a 934 nor an 856 $3, do not create a 934 field. 934 $a v.19- available online.
6. Summary Holdings, Periodicals: CDL-T 950 field This field will specify what materials are included in the electronic resource and will be created as follows. If the incoming serial record has a 950 field, move the contents of that field to a CDL-T 950 field. If it does not, create a 950 from the $3 in the first 856 in the record. If the record contains neither a 950 nor an 856 $3, do not create a 950 field. 950 $a Latest five years available online.
7. CDL Directory Data: CDL-T 980, 982, 984 fields These fields will contain information that will be extracted and used in CDL Directory records via a process as yet to be determined. The fields are: 980 $a,$b,$c: CDL Directory subject vocabulary 982 $a: CDL Directory format 984 $a: CDL Directory provider If the incoming record contains 980, 982, or 984 fields output the fields
as input.
8. Base Record Calculation Assign a base record weight to CCA/CDL records so that the records will
become the base records in the MELVYL databases.
9. Cataloging units Assign a CDL cataloging unit to each incoming record.
10. AT Searching Enable an 'AT CDL' search that will retrieve the CCA/CDL records.
In addition, for each campus subscriber (as represented by the 920 location
codes), turn on campus bits so that the CCA/CDL records will be retrieved
in <AT CAMPUS> searches.
11. 776 $x Indexing Index the 776 $x for purposes of retrieval by ISSN and linking to A&I
databases.
C. DISPLAY PROCESSING Special MELVYL display processing will be required as follows. 1. Location Segment Suppression When displaying CCA/CDL records, suppress the display of campus location
segments. Show only the CDL location segment.
2. Call numbers Leave the call number areas blank when displaying local information
for the CCA/CDL record.
3. 856 fields A group separate from the Taskforce (with representative from CDL and the campuses) be working on recommendations for improving current 856 displays. The Taskforce itself has looked at some alternatives that include the following: a. Provision of campus labels preceding each 856, showing 'ownership' of the field. b. Removing the label 'Electronic
location' that appears before each 856 field in the SHORT MELWEB
c. Displaying related electronic
locations (when they can be identified by a second indicator of '2'
in the 856)
D. DISPLAY EXAMPLES Examples do not represent actual CDL titles but are meant to demonstrate
format and data placement. 856 displays do not necessarily represent
how this information will eventually display in the MELVYL databases.
