CDL Record Distribution

 
 1. CCA CREATES FILES OF CATALOGED CDL ELECTRONIC RESOURCE RECORDS 
   The CCA will create files of CDL records that it has cataloged 
   according to guidelines established by the SOPAG Electronic 
   Resources Cataloging Taskforce.  (See CDL Cataloging Guidelines.) 
   The records must be in standard USMARC format.  Files may contain 
   both monographs and serials or the CCA may output each format into 
   into separate files.  If separate files are used, the CCA should 
   classify records by MARC leader values as follows: 
      Serials:     (TYPE=a OR TYPE=m) AND (BIBLEVEL=b OR BIBLEVEL=s) 
      Monographs:  All others 
   Files may contain new cataloging, updates, and/or deletes. 

2. CCA TRANSMITS FILES TO CDL-T  
   The CCA will send the files to CDL-T's FTP site on a weekly basis. 
   For each file transmitted, a note including file name 
   and record count must be emailed by the CCA to a specified 
   CDL-T address. 

3. CDL-T PROCESSES FILES FOR INPUT INTO MELVYL DATABASES  
   CDLT-T will process CCA bibliographic and local data in the 
   records according to Taskforce guidelines. (See CDL-T Processing 
   and Display Guidelines.) 

4. CDL-T LOADS FILES INTO MELVYL DATABASES  
   Successfully processed records will be loaded into the MELVYL 
   CATalog or PEriodical databases within two weeks of receipt 
   of files from the CCA. 

5. CDL-T NOTIFIES THE CCA THAT FILES HAVE BEEN PROCESSED 
   When files have been loaded, notification will be sent to 
   a specified email address at the CCA so that the CCA can 
   delete the files from its system. 

6. CDL-T PREPARES SEPARATE CAMPUS FILES OF CCA/CDL RECORDS  
   From each CCA input file, CDL-T will prepare files of CDL 
   records in standard USMARC format for distribution to campuses 
   as follows: 
     a. CCA-supplied local data and local system data (if any) 
        will be removed from the records. 
     b. If the CCA indicates a delete transaction other than by setting the 
        LEADER STATUS to 'd', CDL-T will change the STATUS to 'd' so 
        that campuses can recognize it and process accordingly. 
     c. Separate files will be prepared for each campus based 
        on subscriber information provided in the record by 
        the CCA. The files will be assigned standard DSNs (dataset 
        names) that contain a campus mnemonic and the date the file 
        was created on the CCA system: 
           EIP.CD.UCB.TRANS.D990515 
           EIP.CD.UCSB.TRANS.D991128     etc. 
   Files will remain on the CDL-T system for three months. 

7. CAMPUSES RETRIEVE THEIR FILES FROM CDL-T SITE  
   Each campus will be responsible for picking up its files 
   (via FTP) in a timely manner.  The campus should check 
   the CDL-T system no less than once every three months to 
   see which of its files are ready for retrieval. 

8. CAMPUSES INTEGRATE CCA/CDL RECORDS INTO LOCAL SYSTEMS (OPTIONAL)  
   Campuses may integrate the CDL records into their own systems 
   by locally established procedures that are expected to vary 
   from site to site. 

9. CAMPUSES SEND CCA/CDL RECORDS IN UPDATE FILES (OPTIONAL)  
   Campuses may send the integrated CDL records to CDL-T in 
   regular update files. 

10. CLT-T PROCESSES AND LOADS CAMPUS UPDATE FILES  
    CDL-T will process and load records from campus update files 
    according to established procedures.  The records will merge 
    in MELVYL with the official CCA/CDL records if they contain 
    the normal data required for merging.
